Task Management vs Workflow Management: What’s the Difference?
Task management is about individual units of work — who owns each one, what it costs, when it is due, whether it is done. Workflow management is about the sequence those units move through and the rules governing each step — what has to happen before what, who is responsible at each stage, and what must be true before work moves on. Most teams need task management first, and workflow structure as soon as work routinely passes through more than one pair of hands.

What is a task?
A task is the smallest piece of work you would hand to one person and expect back — self-contained, with a definable end.
In practice a task carries a description of what needs doing, one owner, a priority, a due date and a status. "Reconcile the March supplier statements" is a task. "Improve supplier reconciliation" is not — it has no definable end, so nobody can tell you when it is finished.
What is task management?
Task management is everything that happens around individual tasks: creating them, assigning them, prioritising them, tracking their progress and closing them.
Its unit of concern is the task. It answers questions of the form "what needs doing, who is doing it, when is it due, where is it". It is discussed in full in what is task management.
Task management does not, on its own, say anything about order. A list of twenty tasks with owners and dates is task management even if the tasks are unrelated to each other.
What is a workflow?
A workflow is a repeatable sequence of steps that a piece of work moves through, together with who is responsible at each step and the conditions for moving to the next.
The defining features are order and transition rules. A purchase request that is raised, checked by finance, approved by a manager and then actioned is a workflow: the steps happen in a sequence, different people are responsible at different points, and each transition has a condition attached.
A workflow is not simply a longer task. The important property is that the same sequence repeats for every instance, which is what makes it worth defining once rather than improvising each time.
What is workflow management?
Workflow management is defining those sequences, running work through them, and knowing at any moment which step each piece of work is sitting at.
Its unit of concern is the process. It answers questions of the form "which stage is this at, who is it waiting on, where does work most often get stuck, how long does the whole sequence take end to end".
Note that "workflow management" is used to describe a wide range of things, from a task system with a fixed lifecycle at one end to a general-purpose automation platform with a visual rule builder at the other. Both are legitimately called workflow management, and they are very different products.
Where they overlap
They overlap almost entirely in the data and hardly at all in the questions. The same task records support both; what differs is what you ask of them.

A team with good task management and no workflow structure knows who has everything and still cannot tell you why requests take eleven days. A team with a defined workflow and weak task management knows the shape of the process and cannot tell you who is holding anything right now. Both are common.
When a business needs structured workflow
When work routinely passes through more than one person, and the order matters. Before that, workflow structure is overhead.
- Work is regularly handled by more than one person before it is finished.
- A step has to be checked or approved before the next one may begin.
- The same sequence repeats often enough that improvising it wastes time.
- You need to know where work is stuck, not merely that it is late.
- Different people are responsible at different stages, and handovers between them are frequent.
If none of those apply, adding stages and transition rules to work that one person completes on their own adds ceremony without adding information.
What this looks like in practice

Assignment
Task management asks who owns this. Workflow asks who should own it at this stage. Those diverge as soon as work is raised before anyone knows who is free, which is why routing to a department rather than a person is so often the right answer — see how to manage tasks across multiple departments.
Review
A review step is workflow structure in its simplest form: a condition that must be satisfied before work counts as finished. It introduces a second responsible party and a transition that can go backwards — a rejection returns the work rather than ending it.
Handover
A handover is a stage transition where the responsible person changes mid-flight. It is the point at which task-level thinking is least sufficient, because everything the outgoing person knows has to move with the work. See the task handover process.
Recurring work
A recurring schedule is a process that runs on a clock rather than in response to a request. Structurally it is the simplest workflow there is — one step, repeated — and it is described in how to manage recurring tasks for your team.
Completion
Task management treats completion as an end state. Workflow treats it as the last transition, which is why "completed" and "approved" are usefully different states: one is a claim by the person who did the work, the other is acceptance of that claim.

Work out which questions you cannot currently answer. That tells you which of the two you are short of.
- If you cannot say who owns a given piece of work, you have a task management problem. Start there; nothing else works until ownership is explicit.
- If you know who owns everything but not why things take as long as they do, you need stage-level visibility — at minimum, distinct states for waiting, in progress, blocked and in review.
- If your process is genuinely fixed and repeated, a product with a built-in lifecycle will get you there faster than one you have to configure.
- If your processes differ substantially by type of work and need custom conditions, you are looking for workflow automation, which is a different and heavier class of tool.
